Announce who will speak at an event, with their photo, title and biography, and publish the run sheet for each day.

A line-up brings people in. The name of a visiting pastor, their photo and the subject they are coming to cover are worth more than an event description, and they are visible long before the hour-by-hour programme is written.

Create a speaker card

A card is created once and will serve again next year. It replaces the name retyped every year, spelled a little differently each time.

  1. Open the event, Speakers tab.
  2. Under Your church file, click New card.
  3. The display name is the only required field. It is the name on the poster, not the one on the passport: write it the way the public will read it.
  4. Add the photo, the title, the home church, the city and a few lines of biography.

Note: the photo and biography are public. They appear on the event page, which anyone can open. Put nothing there that the person would not want displayed.

Announce someone on an event

Creating a card announces it nowhere. These are two separate steps, deliberately: the same person speaks at several events without being typed in again.

  1. In the Speakers tab, click Announce someone.
  2. Choose the card, then the role: keynote, speaker, moderator, worship or host.
  3. If the event has sessions, say which one. Leave it on whole event if they speak more than once.
  4. The topic is useful while the run sheet is not written: it says what the person is coming to cover.

The keynote is marked on the public page. Other roles stay quiet, because a list where everyone wears a label no longer says who carries the event.

The arrows on each row move someone up or down: the order of the line-up is a decision, not an automatic sort.

The run sheet for each day

An event carried a single run sheet. A three-day conference has three, and that is what sessions now allow.

  1. Write your run sheets in the Programmes module, as usual.
  2. In the event, Sessions tab, open a session and choose its run sheet.
  3. Repeat for each day.

On the public page, each day appears in its own collapsed block. Only one opens at a time: three days unfolded at once would make an endless page on a phone.

Note: the run sheet is published only if you ticked make the programme public on the event. Without that box, your working schedule stays internal.

Name a speaker on a slot

In the Programmes module, each line of the run sheet can point to a speaker from your file rather than a name typed by hand. Their photo and title then appear on the line.

Free text is still possible, and still useful: the welcome team or the youth from the south campus are not people and do not need to become cards.

If you wrote your programme without going back to the line-up, the Pull from the run sheet button adds the speakers named there in one go. It never creates a duplicate: it only adds what is missing.

Archive rather than delete

A speaker who no longer comes is archived: they leave the pick lists and stay on past line-ups.

Deletion is only accepted if the card has never been used. Otherwise the system refuses and offers to archive, because erasing a card already in use would empty last year's line-up.
