Barcodes and labels

Generate codes, print labels and produce a full inventory report as a PDF.

Labelling equipment with a barcode speeds up checks: you scan instead of searching a list. Inventory generates codes, prints label sheets in the church's colours and produces a full PDF report of the assets.

Assign a barcode

When creating or editing an item, the Identification step has a Barcode field. You can enter a code already stuck on the equipment, or have a new one generated. Search accepts the barcode: typing the code instantly finds the item.

Tip: one code per item, unique and permanent. Once the label is stuck on, don't change it: it is what links the physical object to its record.

From the Inventory header, open Barcodes / PDF. You will find several actions there:

  1. Blank labels - choose a number, generate the codes, then print a sheet ready to stick on equipment not yet registered.
  2. Item labels - tick the items that already have a code and print their labels (name, brand, barcode).
  3. Each label carries the church's logo and name.

The PDF opens in a new tab; use Print / Save as PDF to print or save it.

Warning: this feature is reserved for plans that include PDF export. If the button offers an upgrade, your current plan does not cover it yet.

Produce the inventory report

Still in Barcodes / PDF, the Inventory action produces a PDF document of all the assets: church header, counters by status, and a table listing every item (designation, brand/model, barcode, status, condition, warranty). The Warranties report separately lists items whose warranty expires soon or has already passed.

Note: the report is dated and carries a reference. It makes a useful document for the assembly, the insurer or an audit.
