A well-welcomed visitor comes back. Sanctumel helps you register newcomers, keep their contact details and ensure follow-up, until they become members.
Register a visitor
- Open Visitors, then Add a visitor.
- Note their name and, if possible, a way to reach them again (phone or email).
- Add how they came (invited, social media, passing by): this is valuable for understanding your growth.
Tip: offer a welcome QR code at the entrance: the visitor fills in their own contact details from their phone, with no queue and no paper.
Each profile shows where the registration came from: a Via QR badge for an online registration scanned at the entrance, or At church for an entry added by hand. This way you can tell self-service arrivals from visitors recorded by your team at a glance.
Ensure the follow-up
The first contact after the visit makes all the difference.
- Send a welcome message by email or WhatsApp, directly from the profile.
- Assign the visitor to a leader for a call or a visit.
- Log every exchange: the welcome journey keeps who made contact, when and how.
Note: follow-up is teamwork. Assign each new visitor to a person, rather than relying on "someone will take care of it".
From visitor to member
When a visitor settles into the church, convert their profile into a member in one click: their information and their whole journey are kept, and their join date takes the date of the conversion. Their member profile keeps a "Welcomed as a visitor" banner that recalls their first visit.
