Track and convert your visitors

Use the New, Contacted, Converted pipeline so no newcomer slips through.

2026-07-04

A visitor record is worthless if no one follows up on it. The tracking pipeline organises your visitors into three clear stages and shows you, at a glance, who is still waiting for a first contact.

The three statuses

Every visitor moves through a simple path:

StatusMeaningExpected action
NewJust registeredContact them
ContactedA first exchange has happenedKeep following up
ConvertedBecame a church memberDone

At the top of the page, three counters show in real time how many visitors sit in each status.

Filter with the pipeline

The filters above the list let you target exactly who you want to see:

  • Active: New and Contacted combined. This is the default filter, your follow-up queue.
  • New: those who have not been contacted yet.
  • Contacted: those the conversation has started with.
  • All: the full list.
  • Converted: those who became members.

Each filter carries its own counter, so you can measure your follow-up without leaving the page.

Tip: start each week with the New filter. These are the visitors whose first contact makes all the difference.

Move a visitor forward

On every row, action buttons carry the visitor from one stage to the next:

  1. Click the phone icon to mark a visitor as Contacted as soon as a first exchange has taken place.
  2. Click the member icon to open the conversion dialog: the visitor becomes a member, with their details and history kept.
  3. Once converted, a button takes you straight to the record of the member that was created.

Note: conversion is available from both New and Contacted. You do not have to go through the Contacted step if the visitor commits quickly.

Search for a visitor

The search field filters the list by first name, last name, email, phone or city. Handy for finding someone right before you call.

Export the list to PDF

The PDF button generates a clean document on your church letterhead: it includes the currently filtered visitors, the counters per status and the print date. Ideal for a welcome-team meeting or an offline follow-up review.

Warning: the PDF export respects the active filter. If you want the full list, switch to the All filter first before exporting.
