A visitor profile is useless if no one comes back to it. The welcome journey organizes your visitors into clear stages and keeps a record of every exchange: who made contact, when and how.
The three statuses
Every visitor goes through a simple journey:
| Status | Meaning | Expected action |
|---|---|---|
| New | Just registered | Contact them |
| Contacted | A first exchange has taken place | Continue the follow-up |
| Converted | Now a member of the church | Done |
At the top of the page, counters display the number of visitors in each status. A converted visitor drops out of the visitor count: they are now counted among your members.
Filter with the pipeline
The filters above the list let you target exactly who you want to see:
- Active: New and Contacted combined. This is the default filter, your follow-up queue.
- New: those who have not yet received any contact.
- Contacted: those with whom the exchange has begun.
- All: the complete list.
- Converted: those who have become members.
Tip: start each week with the New filter. These are the visitors whose first contact makes all the difference.
Open a visitor profile
The list is displayed as cards. Click a card to open the visitor's full profile: their contact details, how they came, their notes, and above all their welcome journey.
Log a contact or send a message
From the profile, the Log a contact button opens a window where you record an exchange that has already taken place: the channel (call, in person, WhatsApp, email, SMS), by whom, a note and the date. Two other buttons let you write directly:
- Email: the message goes out in your church's name, in its language.
- WhatsApp: a direct message, when the WhatsApp integration is enabled for your church.
Every send is logged automatically. On the first contact, the visitor moves on their own to the Contacted status.
Note: the WhatsApp button stays greyed out and marked "unavailable" until the WhatsApp integration has been enabled for your church. Email, however, works from the start.
The welcome journey
Below the contact details, the journey lists all the interactions in order, from the most recent to the oldest: "May 18 · Call · logged by Pastor Elie · responded positively". You finally know who contacted this visitor, when and by what means - no more "someone will take care of it". The important milestones (first visit, conversion to member) appear there too.
Convert to member
The Convert to member button turns the visitor profile into a member profile. Their information and their whole journey are kept, and their join date takes the date of the conversion. From the member profile, a "Welcomed as a visitor" banner recalls their first visit and who had invited them.
Note: conversion is possible from the New status as well as from Contacted. You don't have to go through the Contacted step if the visitor commits quickly.
Search for a visitor
The search field finds a visitor by first name, last name, email or phone. The search works across all your visitors, even when there are many.
Export the list as a PDF
The PDF button generates a clean document with your church's letterhead: the complete list of visitors, the counters by status and the print date. Ideal for a welcome team meeting or an offline follow-up review.
