Track and manage donations

See donations as they arrive, find a donor, understand automatic receipts, and filter your entries.

Once online giving is active, every payment flows automatically into Finance. You can see who gave, how much and when, with nothing to enter by hand. Here is how to read the list, find a specific gift and keep track of all your income.

Note: Sanctumel never holds your church's money. Donations are paid directly into your organization's payment account. This page only helps you track them.

See donations in real time

Open Finance. Next to the giving QR code, the Donations panel shows your most recent online payments, newest first. For each gift you see:

  • the donor's name if they provided one, otherwise "anonymous donor";
  • the amount and currency;
  • the date of the gift.

The panel also shows a summary: the total collected, the number of gifts and, where relevant, an amount pending transfer to your account.

Tip: if a recent payment is not showing yet, use the Sync button in the panel. It reconciles your list with the payments confirmed by the provider.

Understand automatic receipts

Every successful gift triggers a receipt by email to the donor, with no action from you. There is nothing to write or resend: the receipt is sent to the address given at the time of payment.

On the church side, everyone with a finance role receives an alert for each new gift, so they can follow giving as it happens.

Note: the donation alert only goes to finance roles, not to the whole team. This is intentional: financial information stays with the people who need it.

Filter and search your entries

Below the donation panels, the Finance table gathers all your income and expenses. Two tools help you find what you need:

  1. The type filters (All, Tithes, Offerings, Donations, Missions, and expense lines): click a filter to show only that type.
  2. The search bar: type a member's name, a description, a category or a reference to narrow the list.
ColumnContent
DateDay of the transaction
TypeTithe, offering, donation, expense...
CategoryAccounting category if set
Member / descriptionDonor or label of the transaction
AmountGreen for income, red for expenses

You can also narrow the view to a specific year and month to analyze a given period.

Warning: income entries (tithes, offerings, donations) are protected. They cannot be freely deleted: any deletion requires a justification and stays recorded in the audit log.
